Most organisations move paper off site for one of two reasons. Either the records still have to exist for a legal or regulatory period and the office floor is an expensive place to keep them, or a relocation has surfaced decades of filing that nobody wants to transport to a new building.
Either way the requirement is the same: the records must remain identifiable, retrievable, and secure for as long as they are held, and then be disposed of in a way you can evidence. Storage is the easy part. Knowing what you hold and being able to produce a specific file on request is the part that gets neglected.
Records are boxed and inventoried before collection, so the register reflects what is actually in each box rather than a general description of a department. Boxes are barcoded and tracked, and retrieval is against that register rather than someone’s recollection of where things went.
Each box carries a retention date. When that date passes, the box is flagged for review rather than silently kept forever, which is what happens by default and is itself a data protection problem under the storage limitation principle.
The most common reason organisations over-retain is that nobody is certain how long they must keep things, so everything is kept indefinitely. These are the commonly applied UK minimum periods for business records.

Storage is priced per box per period, which makes it look simple and comparable. It rarely is, because the storage rate is only one of three lines and often the smallest.
Volume is the obvious driver. Indexing depth is the next: a register that records which files sit in which box costs more to create and far less to use. If you expect to retrieve regularly, pay for the indexing.
Retrieval frequency is where budgets are actually decided. An organisation pulling files weekly has a completely different cost profile from one storing dormant records against a retention clock, even at identical box counts.
Then there is duration and disposal. Boxes held past their retention date accrue storage cost for no benefit and increase your exposure under the storage limitation principle. A destruction schedule tied to retention dates is the single most effective way to control long-term storage spend.

Every storage provider describes itself as secure. The word covers at least four different things, and they are worth separating when you compare providers.
Physical security is the obvious one: controlled access to the facility, visitor logging, fire detection and suppression, and environmental conditions suitable for paper held over years rather than months. Ask what the facility actually has rather than accepting the adjective.
Procedural security is the one that fails more often. Who is authorised to request a retrieval from your organisation? Is there a named signatory list, and what happens when that person leaves? A facility with excellent locks and no authorisation control will hand your files to whoever asks convincingly.
Destruction has its own standard. BS EN 15713 is the British and European standard covering the secure destruction of confidential material, including how it is collected, held before destruction, and processed. Ask which standard a provider works to and what their certificate of destruction actually itemises.
The fourth is contractual, and it is the one most often missed. If your boxes contain personal data, the storage provider is a processor acting on your behalf, and Article 28 of the UK GDPR requires a written contract setting out the subject matter, duration, nature and purpose of the processing, and the obligations on both sides. That is not optional paperwork. If a provider cannot produce a processor agreement, you have a compliance gap regardless of how good the warehouse is.
Insurance is worth a specific question too. Standard cover values goods by weight or volume, which is close to meaningless for records whose value is the information rather than the paper. Agree how your archive is valued before it leaves the building.

It depends on the retrieval option agreed at the outset and on the indexing depth. A file-level register produces a specific document far faster than a box-level one, where the box has to be retrieved and searched.
It varies by record type. Six years is common for accounting and VAT records, three years for payroll. Anything containing personal data should be held no longer than necessary. Sector rules often extend these, so confirm your own schedule.
The box is flagged for review rather than destroyed automatically, because retention dates are sometimes extended by litigation or audit. On your instruction it goes to certified destruction and you receive certification.
Either. Box level is cheaper to set up and slower to use. File level costs more initially and is substantially faster and cheaper at retrieval. Choose based on how often you realistically expect to need something.
