Crates, Labelling, and What Desk Ready Means on Monday

Crate estimation is where quotes diverge most, and where a low number should make you suspicious rather than pleased. Under-crating means running out mid-move, which stops the job entirely because there is nothing to pack into.

Volume is estimated from a survey, not from headcount. Two hundred people with pedestals and personal storage generate very different volumes from two hundred people on a clear-desk policy, and the difference is not marginal.

Labelling is the other half. We use position-based labelling tied to the new floor plan rather than sequential numbering, because a crate labelled with its destination can be delivered by anyone, while a crate labelled 147 requires a list and a person holding it.

Desk ready means something specific and worth agreeing in writing: the correct chair at the correct desk, monitors and docks reconnected, and each person’s crates positioned at their named desk rather than stacked in a corridor. Ask any provider what their definition is. The answers vary considerably.

What Drives the Cost of an Office Move

Office moves are priced on volume, access, and hours, and the three interact. A move with easy access at both ends and a full weekend available costs materially less than the same volume through a single shared lift with a Saturday-only window.

Volume comes from the survey. Access comes from the two buildings. Hours come from your business, and out-of-hours or weekend working carries a premium that is worth confirming rather than assuming is included.

Beyond that: distance and vehicle loads, whether furniture is dismantled and rebuilt or moved assembled, crate hire duration, and how much clearance of surplus items is required. Reuse offsets some disposal cost, so a floor of resaleable furniture prices differently from a floor of damaged units.

The most common gap between quotes is not the move. It is what happens either side of it: reinstatement standard, Monday floor-walk support, crate collection, and clearance. Compare those line by line before comparing totals.

When We Are Not the Right Fit

If you are moving a handful of desks within one building, a full relocation project is more process than the job warrants. If your new building has no confirmed handover date, a move booking is premature and we will suggest resurveying once it is fixed.

We do not deliver design-and-build fit-out, space planning, or furniture specification. We move and reinstate what you have. Where new furniture or a new layout is part of your project, that is a fit-out contractor working alongside us.

Insurance, Liability, and What Actually Gets Damaged

Insurance is the part of a move quote people skim and then discover in detail at the worst possible moment. There are three separate covers involved and they do different jobs.

Goods in transit covers your property while it is being moved. Public liability covers damage to people and property that is not yours, including the building itself. All-risks or contract works cover may sit over the top depending on the project. A provider can hold all three and still leave you exposed if the declared value is wrong, so agree the sum insured against the replacement value of what is actually moving, not a round number that sounded reasonable at survey.

Two exclusions catch people out. Items packed by your own staff are commonly excluded or limited, which is one reason crate labelling and packing instructions matter beyond tidiness. And consequential loss, meaning the business impact of a delay rather than the cost of the damaged item, is almost never covered by a mover under any circumstances.

What actually gets damaged is rarely the heavy furniture. It is monitors, glass panels, whiteboards, and anything left loose inside a pedestal that was moved without being emptied. The other common claim is the building rather than the contents: lift door frames, corridor corners, and door architraves. That is why managed buildings insist on protection before work starts, and why a crew arriving without it will be turned away.
